Think about what needs to be carried, when items will be distributed and whether the merchandise belongs in a participant pack. Put practical requirements into the brief before choosing a visual treatment.

Gifts and exchange items

Consider the meaning of the item, the size of the design and how it will be transported. A clear group name or event reference can help the recipient remember the story behind it.

For resale, separate confirmed demand from extra stock. A lower quoted unit price is only useful if the quantity, delivery costs and unsold stock still make sense for your budget.

Define a useful merchandise brief

  • Item and use: a bag, keepsake or another Scout souvenir, with a reference if available.
  • Recipients: participants, volunteers, guests or buyers.
  • Specification: desired dimensions, material preferences and artwork placement.
  • Quantity and budget: units per item and the overall amount you want to work within.
  • Delivery: the destination, required arrival date and distribution plan.

Ask which options are available and what is included in the quotation. Confirm any packaging, artwork or delivery charges before comparing alternatives.

Make the set consistent

If you are planning scarves and apparel or woven or embroidered badges too, share one set of approved names, logos and colour references.

Review each item on its own proof. Artwork that fits a shirt may need a simpler arrangement on a smaller keepsake. Check the actual print or decoration area and make sure the important wording remains readable.

You can start by sharing the idea and any references you have. Explain which artwork is ready and what still needs to be developed, then ask us to clarify the next steps and any related charges.

Can the items be personalised?

Tell us what needs to vary, such as a name, design or colour, and the quantities for each version. Availability and cost need to be confirmed for the selected item.

How do I avoid last-minute changes?

Agree on one final specification, one quantity list and one approver. Check the arrival date and delivery details before the order moves ahead.
