Use this checklist to organise a custom badge or merchandise order before asking for a quotation. Share it with your team so artwork, quantities and delivery decisions stay in one place.
Discuss your order1. Write the purpose and deadline
Record the event or group name, the intended recipients and what each item is for. Separate the event date from the date the order must arrive. Allow time for your own checking, packing and distribution rather than using the event morning as the delivery target.
Tell the supplier the delivery destination and ask them to confirm whether the requested schedule is feasible.
2. Make one quantity list
List every product, design variation, size and colour on a separate line. Reconcile the list with the latest participant or team information and identify any spare stock as a separate decision.

3. Prepare one approved artwork set
- Check the exact group name, event name, year and all spelling.
- Provide the best available design file, plus a reference image.
- Specify dimensions and artwork placement for each item.
- Include colour references and explain which elements are essential.
- Confirm permission to reproduce organisational logos or other artwork.
Keep a dated final version and one person responsible for approval. Avoid sending conflicting revisions in different message threads.
4. Compare the complete quotation
Ask about the minimum quantity, unit price, artwork or setup charges, any sample arrangements, packaging, delivery and applicable taxes. Clarify payment terms and what happens if the specification changes after confirmation.
Compare like-for-like specifications. A unit-price comparison is incomplete when one quotation excludes delivery or uses a different material, size or finish.
5. Approve before production
Check the proof against the final order list: design version, spelling, dates, dimensions, quantity and any personalisation. Ask what is represented by the proof and whether a physical sample is needed or available. Record the agreed specification and timing in the same order conversation.
6. Send a clear enquiry
Copy this structure into your message and fill in the details you know. Mark undecided items as questions rather than making assumptions.
